Privacy Policy

Last updated: 12 August 2026. This policy explains how we handle personal data in line with Regulation (EU) 2016/679 (GDPR) and Cypriot data protection law.

1. Who we are (Data Controller)

2. What we collect

  • Contact enquiries: the name, email address, subject and message you choose to send us.
  • Programme participation: where you request assistance, the minimum details needed to provide it (for example household size or the service you need).
  • Volunteers and members: contact details and availability.
  • Website usage: our site does not use advertising or profiling cookies and does not build visitor profiles.

3. Why we process it (legal bases)

  • Consent — when you contact us or sign up to take part in an activity.
  • Legitimate interests — running the association and answering correspondence.
  • Legal obligation — retaining records required by Cypriot association law.

4. We never sell or monetise your data

We do not sell, rent, trade or otherwise monetise personal data, and we do not share it with advertisers or data brokers. Information is disclosed only where you have asked us to refer you to a service, or where disclosure is required by law.

5. Confidentiality

Circumstances shared with our volunteers are treated as strictly confidential. Access to beneficiary information is limited to the small number of people who need it to provide the support requested, and all volunteers are bound by our confidentiality rules.

6. How long we keep data

Enquiries are kept for up to 24 months. Records connected to assistance or membership are kept for as long as necessary for the activity and for any statutory retention period, then securely deleted.

7. Security

Data is stored on access-controlled systems and in locked physical files where paper records are unavoidable. We review access rights regularly and limit them to Committee members and authorised volunteers.

8. Your rights

You have the right to access, rectify or erase your personal data, to restrict or object to processing, to data portability, and to withdraw consent at any time. Write to info@refugeehelpcyprus.org and we will respond within one month. You may also lodge a complaint with the Office of the Commissioner for Personal Data Protection of the Republic of Cyprus.

9. Children

Where young people take part in our youth activities, we obtain the consent of a parent or guardian and collect only what is needed for their safety and participation.

10. External links

Our site may link to public authorities or partner organizations. Their own privacy policies apply once you leave our website.

11. Changes to this policy

Any updates will be published on this page with a revised date. Material changes will also be announced to members at the General Assembly.
